Cancellation Policy
Flexible Terms with Clear Cancellation Guidelines

At Servinix Ltd, we understand that project requirements and business circumstances may change. This Cancellation Policy explains the terms and conditions that apply when a client wishes to cancel a service or when Servinix Ltd needs to suspend or cancel a project.
1. Project Cancellation by the Client
Clients may request cancellation of a service or project by providing written notice to Servinix Ltd via email. Cancellation requests will be reviewed based on the current stage of the project and the work already undertaken.
- Before Project Commencement: A cancellation request may be accepted without additional charges where no work has commenced.
- After Project Commencement: Cancellation may be accepted subject to charges for work already completed, resources committed, and any applicable third-party costs.
- After Delivery: Projects or services that have been completed and delivered in accordance with the agreed requirements may not be eligible for cancellation or refund.
2. Refunds Following Cancellation
Where a cancellation is approved and a refund is applicable, it will be processed in accordance with our Refund & Returns Policy.
Any approved refund may be reduced by the value of work already completed, services provided, resources committed, and non-refundable third-party costs incurred on behalf of the client.
3. Non-Cancellable Services
Certain services may not be eligible for cancellation once they have commenced or been purchased. These may include:
- Completed and delivered projects.
- Services where substantial work has already been completed.
- Bespoke development work that has been specifically created for the client.
- Third-party services or purchases, including domain registration, hosting, software licences, plugins, APIs, and other paid tools.
- Services that have already been approved or accepted by the client.
4. Client Delays and Project Inactivity
Clients are responsible for providing the information, content, approvals, access credentials, feedback, and other materials required to complete a project.
If a client fails to provide the required information or communication for an extended period, typically 14 days or more, Servinix Ltd may place the project on hold or consider it inactive.
Where a project is inactive for an extended period, restarting the project may require:
- Revised project timelines.
- Reconfirmation of requirements.
- Additional charges where further work or resources are required.
- Updated pricing where the original quotation or agreement is no longer applicable.
5. Cancellation or Suspension by Servinix Ltd
Servinix Ltd reserves the right to suspend or cancel a service or project where reasonably necessary, including in circumstances involving:
- Breach of our terms, policies, or contractual obligations.
- Non-payment or significant delays in payment.
- Fraudulent or misleading information.
- Unlawful, abusive, threatening, or inappropriate behaviour.
- Requests to provide services that are unlawful or otherwise inappropriate.
- Circumstances that make continued delivery of the service impractical or impossible.
Where reasonably possible, Servinix Ltd will provide the client with notice before suspending or cancelling services.
6. Rescheduling Projects
Where circumstances allow, Servinix Ltd may offer to reschedule a project instead of cancelling it.
Any rescheduling arrangement will be subject to mutual agreement between Servinix Ltd and the client and may involve revised delivery dates, project requirements, or additional costs where applicable.
7. Effect of Cancellation
Once a cancellation has been confirmed, Servinix Ltd may cease further work on the affected project or service.
The client remains responsible for any outstanding amounts relating to work already completed, services already provided, or third-party costs incurred before the cancellation takes effect.
Where applicable, project files or completed deliverables may be provided in accordance with the terms of the relevant agreement and subject to settlement of outstanding amounts.
8. Consumer Rights
Nothing in this Cancellation Policy is intended to limit or exclude any statutory rights available to consumers under applicable UK consumer protection legislation.
Where a statutory cancellation right applies, the relevant legal requirements will take precedence over any conflicting provision of this policy.
For business-to-business services, the cancellation terms agreed between Servinix Ltd and the client will apply, subject to applicable law.
9. Changes to This Policy
Servinix Ltd may update this Cancellation Policy from time to time to reflect changes to our services, business practices, or applicable legal requirements.
Any updated version will be published on this page with a revised effective date.
